What to document when later mechanical, electrical or framing work damages spray-applied fire protection.
Start with evidence
Record the existing substrate, exposure, damage, access and previous work. Photographs are useful when they are labelled as actual projects or clearly identified as representative.
Define performance and constraints
Identify the required outcome, operating hours, adjacent finishes, ventilation, cure or drying time and documentation obligations before selecting a product.
Request a written scope
The proposal should identify preparation, repairs, materials, application limits, exclusions, protection and the party responsible for inspections or testing.
Verify before closeout
Review appearance, coverage, transitions and required records. Keep product and maintenance information with the property file.
Use a located defect register
Give each damaged area a floor, grid or room reference with overview and detail photographs. Record the service activity that exposed the damage where known, without assigning a cause that has not been investigated. Keep the original assembly records available to the repair reviewer.
Close the repair through the agreed process
Ask the responsible designer and manufacturer for the applicable repair requirements, then define preparation, compatible materials and inspection. Link the finished repair to its original defect number. A matching colour is an appearance outcome; acceptance of the specified protection requires the appropriate project documentation.
